Project Lead, Office Management

 

Reporting to: Manager, Supply Chain Management

 

Role Purpose:

  • The position is established to support the office relocation project from pre and post project phases for Company.
  • The incumbent will be responsible to manage, organise and coordinate the activities associated with the office relocation project, interfaces with internal stakeholders, Vendors, Contractors, Key Consultants, Building Management, across the entire office relocation project phases. He/she has a strong capability to provide effective communication from working levels to upper management on progress updates. Also, equipped with good experience in planning and delegation skills to direct and assign team members towards completion and success.

Key Performance Indicators

Planning & Preparation Phase

  • To manage and gather the necessary input and requirement from respective department such as seating layout, meeting rooms etc within ME guidelines and regulatory compliance.
  • To coordinate and facilitate meetings with internal and external party respectively i.e. HOD, Management, Vendors, Building Management, and other key stakeholders, if necessary.
  • To identify and form up the taskforce team (based on each department) for effective communication and delegate the task respectively.
  • Coordinate and provide guideline to project team ensures their full support to smoothen the operation flow.

Design and Construction Phase

  • To coordinate with the vendor to prepare Project Initiation Document (PID) based on the requirement study result during planning phase i.e. conceptual Design, Cost estimation and project milestone.
  • To coordinate with designer and construction team to provide the requirement for artwork preparation and development.
  • To identify and ensure the necessary requirements based on office facilities and design function that promote positive vibrance and productivity for employee as well as suitability and conducive for working environment (Safe, secure, modern, ergonomics and industry “best practice”).
  • To facilitate technical team (design, construction, furnishing electrical, System/ server, telecommunications etc) to furnish the department and office inventory data for ITB of office conceptual design and project management contract.
  • Responsible for providing the necessary information/ data which acknowledged and approved by the management prior kick off the construction works.
  • To ensure the project is well monitored based on budget and cost optimisation, delivery timeframe and design standards/ expectation.
  • Provide recommendations to designer or construction team, where applicable.
  • To identify current office asset, equipment and furniture that can be used at the new office and facilities to track and monitor the items during relocation exercise.
  • To report and update the construction progress to management team regularly for approval, any adhoc changes, and any potential concern / risk if necessary.

 

 

Logistical Management Phase

  • Responsible for organising and supporting with the transfer of employee to new office, providing support and guideline/ schedule to ensure a smooth and successful transition.
  • To ensure employee conducted regular spring-cleaning prior relocation logistic started.
  • Coordination of relocation services such as packing, boxes loading, shipment arrangement, unpack and set up (applicable to IT equipment).
  • Collaborate with IT team and ensuring no hiccups during IT equipment, tools, network, telecommunicating testing prior decommissioning and re-missioning in current and new office respectively.
  • Collaborate and provide necessary evaluation to the appointed office reinstatement coordinator, responsible in restoring and reinstating fixtures, fittings, and finishes, such as partition walls, ceiling, and flooring, as well as electrical and mechanical services prior returning the existing unit back as per original condition stated in the tenancy agreement.

  • Ensure effective and timely office relocation support for Company.

 

Challenges:

  • To manage expectations and requirement from the company based corporate standards and business needs.
  • To manage effective coordination and liaison with all key stakeholders including Management, Employees as well as external parties.
  • Work and collaboration across internal and external especially with the appointed design and construction vendors.

 

Decision making:

  • Decisions are all execution based on approved requirements and milestone.

Internal:

  • All Employees and other functional counterparts within group of companies.

 

External:

  • Vendors, Office Relocation Movers, building management/ agent and other parties as required to carry out duties.

 

Knowledge, Skills & Experience:

 

Knowledge:

  • Degree qualifications preferred.

 

Experience:

  • Minimum of 8 - 12 years of experience in building management and maintenance role in, with experience in managing office relocation from end-to end, preferably in Real Estate or O&G industry

 

Skills:

  • Intermediate Microsoft Office skills (Word, Excel, Outlook, Power point). Great written and verbal communication skills in English
